Primary Objective of Position: The Data and Administrative Assistant will primarily administer the data systems for the Jamboree Community Impact department as well as secondarily assist with administrative duties for the Asset Management department. This position will collaborate closely with Community Impact staff to ensure adherence to all data policies and procedures. This position will also provide support for the Asset Management department by assisting with asset portfolio management assistance. Data Systems Administrator: • Assist the department with collecting and entering information into the different data systems needed for compliance. • Work collaboratively with program staff, Community Impact leadership, and administration on ensuring client data and reports are accurate and complete. • Support development and implementation of data administration policies, technical standards, and data models. • Act as the agency administrator or point of contact between Jamboree staff and external data system partners. • Develop, implement, and review training materials for new and existing systems. • Provide guidance, support, and training to the Community Impact team on all data systems. • Support development and implementation of data administration policies, technical standards, and data models • Oversee the data entry process within the department and collaborate with supervisors to ensure compliance with data quality and timeliness standards. • Other duties as assigned. Asset Management Administrative Assistant: • Maintain files and databases. • Assist with compliance support and administration. • Assist with obtaining lender/investor consents. • Assist with collecting monthly, quarterly, and annual financial reporting for internal and external partners, complete partner specific reports and keep partner contact information updated. • Assist with welfare exemptions and property tax bills • Other duties as assigned. Level of Education, Experience and Skill Set: • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, OneNote and Outlook) and Adobe. • One or more year of experience that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position. • Experience and knowledge of HMIS, CalAIM and EHR systems preferred. • Ability to prioritize tasks and work independently in a proactive manner. • Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously. • Strong problem-solving skills and with attention to detail. • Proficient verbal and written communication skills. • Bachelor's degree or equivalent preferred. Physical Demands: The Data and Administrative Assistant is required to talk and hear. The employee is often required to sit and use their hands and fingers to handle or feel. The employee is required to stand, walk, reach with arms and hands, climb, balance, twist, lean, move from one location to another and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close and far vision. Ability to, operate a computer keyboard, and lift files and reports. Exposure to glare from a computer. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Must be able to lift 25 lbs and travel up to 20 percent of the time. Work Environment: The work environment will usually be in a professional office setting, with possible shared workspace. The noise level is usually quiet to moderate. When traveling the environment will change dependent upon the site visiting.
